Hello. This is the part where I'm going
to talk about the phone and making
appointments on there. So, the first
thing that I want to go over is your
voicemail access. So, since you're going
to be new, you're going to have to
create a new password to be able to
access your voicemail. Now, to access
your voicemail, you're going to want to
click on this button. And that will
always send you to your voicemail box.
And because you're new, the first thing
that you want to do is once you click on
the voicemail box, you're then going to
click on the star button right over
here. After that, it's going to ask you
for a pin. And don't panic because your
pin is going to be the numbers that
you'll see
right by these little buttons. So for
your two numbers, it's going to be for
the first one 2875.
And then for the second number, it's
going to be 2882.
Now, starting with the first one, once
you put 2875,
it'll then ask you for a password. So,
you're going to want to temporarily put
the password 1 22 33 and then the pound
key. After that, it's going to ask you
to reor uh to record a personal greeting
and just kind of introduce yourself or,
you know, with your building number and
all of that. You make it how you like
it. And then afterwards, it's going to
request a password. And right by where
your phone is, you'll have a little
packet that goes over your phone and
what kind of passwords are acceptable
and not acceptable. And I believe that
the voicemail box will also help you
out. So just make sure that you listen
through and make a good password. The
next thing I want to go over is changing
voicemail. So this is important because
of two reasons. One, we want to be able
to make sure that when it's screening
season, parents know what to be able to
leave as a voicemail for you so you know
what student needs to be serviced and
it's going to help you for making an
appointment.
Also, you want to be able to change when
we start going on break because a lot of
parents think that we are like a regular
clinic. So they think that even though
it's going to be summer break that we
will still be open, but we work on a
school schedule. So when we are on
summer break or the school's on summer
break, we are on summer break. And so
you need to make sure that your
voicemail changes so that parents will
know that we are not open during either
summertime or winter time. The next
thing that you need to know is that you
can access for your phone on other Blue
Valley phones. Although this is mostly
your voicemail box. So if you were
wanting to try to access your phone and
listen through the voicemails or things
like that, what you're going to want to
do is you're going to press on the
voicemail button just like before.
You're going to click on the pound key
or the star key I should say
and then it'll do the same thing like
you did for setting your password except
once you press on the star put in your
pen with the pound and then your
password and then click pound it'll
automatically send you to your voicemail
box so you have all the access that you
need. The last thing that I want to talk
about for your phone is calling. And the
biggest important thing that you need to
know is because you have these two
numbers. The first number, which is your
2875,
that is your personal number. So nurses
or other employees within Blue Valley
are going to call you through that
number. Your 2882 number is your
scheduling line number. This is the one
that you want to make sure you were on
when you were calling parents back. So
to make sure that you are on the right
number, it's pretty simple. Just like
you kind of see right here, if you see
that the button is green, that means
that that is the phone number that you
are calling from. So you just want to
make sure before you enter the parents
phone number. Just click on the button,
make sure that it's selected on 2882,
and then call them. But you need to know
before putting in the number that there
is a certain way that you need to go
about calling. So only Blue Valley
numbers you can just type in the number
and it will call. But for parent
numbers, so if it is within Kansas, then
you are going to make sure to press nine
and then the number afterwards. And that
is for your 913 numbers. I'm not too
sure about 785,
but I would just try nine and then try
the other just in case. The other one
that you want to do is 9
1.
And then you're going to put the number.
So these are outside states. So, when
you get a a number that's 816 or any
other
kind of um phone that is outside the
state, you want to press 91 and then
their phone number so that it could go
through.
Next, I want to go over making
appointments. So, me personally, how I
would go about it is I would allow
parents to call but then leave a voice
message. That way I'm able to gather as
much information about the parent, the
child, the school, and just anything
that the parent wants to talk about.
Whether it was just, you know, they
failed their hearing screening or this
is something that's very serious that
the aiologist needs to know about.
So, let them leave a voice message or if
you um decide to call them. The things
that you want to gather is the child's
name, what school, and you want to be
able to know the parents name, whether
they are mom and dad or any other
relatives. Um, and also what the reason
for their call is it. The most important
one should be that they failed their
hearing screening. But we do have some
exceptions if this is something that the
aiologists already know about and this
is something that the child needs to be
um seen for. But I would say before you
really call them, the second thing that
you need to do is you need to consult
with the aiology team. you need to know
when they are free to be able to do the
appointment or sometimes if they don't
decide to take the student into the
booth um they will go out to the school
and they will essentially assess the
student over there but get their
feedback see what they say and whatever
they say that is what you will do next
so for the call back this is where
you're going to be setting up your
appointment so I'm going to go over fee
before.
So, the first thing that you want to
know is what details to give to parents.
The first thing that you want to do is
just make sure that you're calling the
right parent and that you have the right
number and everything.
And then after confirming, just make
sure with the parent um if they have any
questions, just answer them and you will
have the aiologist to be able to help
you. let them know uh what's going to
happen because some parents don't know.
Um but if they already know the process,
your main focus is just making sure to
go and schedule them in when the
aiologists are available.
And so if there's a situation where the
parents are not available for any of the
dates that the aiologists have offered,
you could just let them know that you
will call them back and talk to the
aiologist about it. So then everyone can
feel secure that they will have an
appointment and their child will be
seen. Um, but if they have an
appointment and they choose a date that
works best for them and a time, uh,
you're going to make sure to let them
know number one, if they have any extra
children that they will need to stay
downstairs as the aiologists are testing
the child because the booth is very
small and this is not meant for little
kids to run around and it will mess up
the results. So we want to emphasize to
parents that either they just bring
themselves and the child that needs to
be seen, but if they have to bring other
siblings due to different circumstances
just to stay downstairs, so then they
could just sit and you know uh watch
over their child as the aiologist is
taking care of the student.
The other thing you need to know is
reasons why someone won't be serviced,
why they won't get a booth appointment.
So, our number one thing at this moment,
due to uh previous legal stuff, we are
only accepting students who are either
within the Blue Valley system, so they
are going to a Blue Valley school of
some sort, or they are getting Blue
Valley services. So, if the student, for
example, goes to St. Michael's, but they
are getting services from Blue Valley,
they are eligible for being able to get
a booth appointment. But sometimes
you'll get parents who
um might have been recommended by their
nurses to contact you and try to get an
appointment even though their child does
not have any services with Blue Valley.
just let them know and just also give
them options
like uh calling back their nurse or um
either going to Children's Mercy or
talking to their pediatrician if they
feel like their child really needs to
have um extra service or needs to get
checked out.
So these are the big main points that
you want to know for making an
appointment and for the
